Step Process Details
Step 1: Organization Setup Create an Organization Online Enter organization name, upload logo, and provide an email address.
Receive Organization Code & Admin Credentials Credentials are sent via email after successful registration.
Step 2: User Login Access CRM Open the CRM portal to log in.
Login Credentials Enter username, password, and organization code.
Admin Permissions Admin user has full system permissions by default.
Step 3: Administration Control Panel Configure System Settings Set permissions, user roles, and access levels.
Manage Users & Roles Add new users, assign roles, and define system access.
Step 4: Project Setup Define Project Details Set the project type (Residential, Commercial, Mixed-use), enter plot/unit sizes, define blocks, and specify the location to create your first project.
Create Project with Numbering Format Assign a project prefix (e.g., ABC-) and define the numbering format (3, 4, or 5 digits). The numbers will adjust dynamically.
Configure Project Plot Sizes Select plot sizes from a predefined list to match your project requirements.
Configure Project Blocks Organize the project into blocks based on predefined planning criteria.
Step 5: Payment Schedule Configuration Define Payment Descriptions Set up descriptions for different payments.
Set Payment Schedules Configure schedules for each project and plot size.
Assign Payment Schedules Payments can be allotted to one or multiple members.
Step 6: Members Setup Manage Member Types Set up Booking Offices, Dealers/Agencies, Relationships, Occupations, and Countries.
Configure File Block/Unblock Types Define block types (Active, Non-Payment Blocked, Refunded Blocked).
Set Up File Issuance Departments Assign departments responsible for issuing member files.
Step 7: Plot/Unit Setup Define Plot/Unit Types Specify General, Corner, Boulevard, etc.
Configure Plot Sizes & Blocks Modify and organize plots within the project.
Manage Reservation Status Set plots as Reserved or Available.
Set Development Status Define as Developed or Undeveloped.
Set Construction Status Choose from Constructed, Semi-Constructed, or No Construction.
Step 8: Payment/Financial Setup Define Payment Types Payment categories are set during organization setup.
Configure Currency Types Add multiple currency options if needed.
Manage Bank Names & Accounts Essential for generating payment reminder letters and creating payment challans.
Set Currency Exchange Rates Adjust rates based on requirements.
Step 9: Ready to Operate Start Using CRM Manage projects, process payments, and handle member interactions.
Step 10: Workflow & Verification Approval Process for Core Transactions Transfers, possessions, block/unblock, payments, NDC, allotments, and cancellations require manager/head approval.
Payment Verification Payments do not reflect in statements until verified by the audit/accounts department.
CRM Taxes Handling Tax & Project Fee Handling Essential for No Demand Certificates required during transfers and possession processes.
Automated Tax Calculation Taxes are calculated dynamically based on area-wise FBR and DC values.
Annual Tax Updates Configured yearly to ensure accurate tax calculations.
Action Page Functionalities Manage Member Records Add, edit, and maintain member details.
Process Payments Accept and track payments securely.
Handle Transfers & Allotments Manage property transfers and new allotments.
Process Cancellations & Refunds Handle file cancellations and refund requests.
Manage File Status Issue, block, unblock, and merge files.
Apply Waivers Configure waivers for eligible members.
Generate Financial Reports Create account statements and payment summaries.
Issue Important Documents Generate transfer documents, reminder letters, allotment letters, possession letters, and welcome letters.
Email Reminders to Defaulters Automated email notifications are sent to members with overdue payments, reminding them to settle their dues promptly.
